Creating a work area

Work areas are created from work area templates that are defined by a system administrator. If you are not sure about the correct template to use or the security roles to assign to the work area you want to create, first consult a system administrator.

To create a new work area:

  1. On the Vault menu, point to New, point to Work Area, and select a work area template. The New Work Area dialog box appears.
  2. Type a descriptive name for the new work area and click OK. If you have the necessary security privilege, the Assign Roles to Work Area dialog box appears. Assign roles for the users of this work area and click OK.

Note    You can leave the roles list empty and assign roles later, but until you assign roles to the work area, all users will have full access to the work area. We recommend you assign roles as early as possible, before documents are assigned to the work area.

After you create a new work area, the current Navigation view is changed to All Documents in Work Area and the work area is opened for you, ready to assign documents to the work area. The initial state of the work area’s workflow is displayed as a button in the context bar that displays a shortcut menu of the next available workflow transitions from which you can choose.

Tip    To assign documents to the current work area without switching contexts to the Main area of the vault, use the Explorer view from within the work area. This view is cleared by default, so you must enable it before you can use it. For more information, see Setting appearance options.
